Privacy Policy

Last updated October 20, 2026

KeepVault helps you keep track of the cars you own. To do that, you trust us with details about valuable things, so we keep this simple: we collect what the app needs to work, we don't sell your information, and you can delete everything at any time. This policy explains what we collect, why, who helps us run the service, and your choices. KeepVault is operated by KeepVault LLC, a California company ("KeepVault", "we", "us").

1. What we collect

Information you give us

  • Account: your email address and, if you share it, your first name.
  • Your cars: VIN, year, make, model, trim, color, mileage, the ZIP code you enter for market values, and what you paid and when (if you enter it).
  • Things you add: service history, reminders and deadlines, insurance details (company, policy number, renewal date, coverage, premium, agent and claims contact), photos, and documents such as registrations, titles, warranties, receipts, invoices and insurance cards.
  • Support: messages you send in the in-app help chat or by email.
  • Payments: when billing is available, payments are handled by our payment processor. We see your plan and payment status, not your full card number.

Information collected automatically

  • Sign-in cookies that keep you signed in. These are essential for the app to work.
  • Basic technical data such as device and browser type, pages used, and error logs, to keep the service running and fix problems.
  • Advertising measurement: if you arrived from one of our ads, our advertising partner (Meta) may receive limited events, such as that a free trial started, so we can measure our ads. See "Your choices".

What we never ask for: your home address, alarm or gate codes, Social Security number, or passwords. Please don't put them in notes, photos or documents.

2. How we use it

  • To run KeepVault: build your car profiles, service schedules, reminders, recall alerts, values and your vault of documents.
  • To send you service emails: sign-in codes, reminders, new recalls and important account notices. You can turn reminder emails off in Settings.
  • To read photos and documents you choose to scan (VINs, invoices, odometers) and to answer your questions in the help chat, using AI (see "Who helps us").
  • To provide support, keep the service secure, prevent abuse, and fix bugs.
  • To understand which of our ads work, in aggregate.
  • To meet legal obligations.

3. Who helps us run KeepVault

We do not sell your personal information. We share it only with service providers that help us run KeepVault, and only what each one needs:

  • Supabase: our database, sign-in and private file storage.
  • Vercel: hosts the app.
  • Anthropic: AI that reads photos you scan and answers help-chat questions. We send only the photo or conversation needed, plus a short summary of your cars for the help chat.
  • MarketCheck: market values. We send the VIN, mileage and ZIP code.
  • NHTSA (U.S. Department of Transportation): VIN details and recalls. We send the VIN or year, make and model.
  • Wikimedia Commons: model photos. We search by year, make, model and color only.
  • Email and payments: our email provider sends your emails; our payment processor handles billing.
  • Meta: advertising measurement, as described above.

We may also share information if required by law, to protect people's safety or our rights, or as part of a merger or sale of the business (in which case this policy continues to apply).

4. How we protect it

  • Data is encrypted in transit, and photos and documents are stored privately: only you can open them, through links that expire.
  • Database rules make sure each owner can only see their own cars, documents and history.
  • We collect the minimum we need. No system is perfectly secure, but we work to protect your information and will notify you as required by law if a breach affects it.

5. How long we keep it

We keep your information while your account is open. When you delete a car, its photos, documents, reminders and history are deleted. When you delete your account (Settings → Delete my account), everything is deleted. Some information may remain in backups for a limited time, or longer where the law requires it (for example, payment records).

6. Your choices and rights

  • See, change or delete your information in the app at any time, or delete your whole account in Settings.
  • Reminder emails: turn them off in Settings or tap "Stop these emails" in any email. We'll still send sign-in codes and essential account notices.
  • Ads: you can limit ad tracking in your Meta (Facebook/Instagram) ad settings and your device settings.

California residents have the right to know what personal information we collect and how we use it, to delete it, to correct it, and to opt out of the "sale" or "sharing" of personal information for cross-context behavioral advertising, without being treated differently for using these rights. We don't sell personal information. To use any of these rights, or to opt out of advertising measurement, email keepvaultinfo@gmail.com. We'll verify the request comes from you, usually by your account email.

7. Children

KeepVault is for adults. It isn't meant for anyone under 18, and we don't knowingly collect information from children.

8. Changes to this policy

If we make important changes, we'll tell you in the app or by email before they take effect. The date at the top shows the latest version.
